Purpose
The purpose of our church announcements is to communicate ministry opportunities, events, and important information that supports the mission and vision of our church. To ensure all announcements are communicated accurately and consistently, please review and follow the guidelines below.
Eligible Announcements
Announcements may include:
- Church-wide events and services
- Ministry-sponsored events and meetings
- Volunteer opportunities
- Registration deadlines
- Community outreach initiatives approved by church leadership
- Special recognitions or church-wide celebrations approved by leadership
- Emergency notifications or schedule changes
The Communications Team reserves the right to determine whether an announcement aligns with the church’s mission and communication priorities.
Submission Requirements
All announcement requests must:
- Be submitted through the official Announcement Request Form.
- Include complete and accurate event details.
- Be submitted by the ministry leader or an authorized representative.
- Include all promotional materials (flyers, logos, graphics, etc.) at the time of submission, if
applicable. - Include the ministry point of contact and contact information.
- Be free of spelling and grammatical errors whenever possible.
Incomplete submissions may delay publication or be returned for additional information.
Submission Deadlines
To allow adequate time for review and scheduling:
- Standard Announcements: Submit at least 14 days before the desired announcement date.
- Major Church Events: Submit 4–6 weeks in advance.
- Multi-week campaigns: Submit 6–8 weeks in advance.
- Emergency announcements will be reviewed on a case-by-case basis.
Submitting by the deadline does not guarantee publication on a specific date.
Announcement Duration
Unless otherwise approved:
- Verbal Announcements/Personal Appeals: Up to 2 consecutive Sundays
- In-Service Digital Display: Up to 4 weeks
- Website Calendar: Through the event date
- Social Media: Scheduled at the Communications Team’s discretion
Editing & Approval
The Communications Team may:
- Edit submissions for grammar, clarity, length, and consistency.
- Adjust wording to fit available time or space.
- Condense lengthy submissions while maintaining key information.
- Decline announcements that do not align with church policies or communication priorities.
Final approval rests with church leadership and/or the Communications Team.
Announcement Priorities
Announcements are generally prioritized as follows:
- Church-wide Events
- Ministry Events
- Outreach & Missions
- Volunteer Opportunities
- Registration Deadlines
- Community Information (when approved)
High-priority announcements may replace lower-priority announcements when communication space is limited.
Event Changes
If event information changes after submission:
- Notify the Communications Team immediately.
- Significant changes may require a revised announcement.
- Last-minute updates cannot always be guaranteed.
Cancellation Policy
If an event is canceled or postponed:
- The ministry leader must notify the Communications Team as soon as possible.
- Every effort will be made to update scheduled announcements promptly.
Announcement Content Standards
Announcements should:
- Be clear and concise.
- Focus on essential information.
- Include:
- Event Name
- Date
- Time
- Location
- Intended audience
- Registration information (if applicable)
- Contact information
Avoid lengthy descriptions, unnecessary details, or promotional language.
Graphic & Media Guidelines
Submitted graphics should:
- Be high-resolution.
- Follow church branding standards when applicable, including the following dimensions:
- 1920×1080 (Landscape / Horizontal)
- 1080×1920 (Portrait / Vertical)
- 1080×1350 (Instagram Photo Only Vertical)
- Include accurate dates, times, and locations.
- Be free from copyrighted material unless permission has been obtained.
The Communications Team may redesign submitted graphics to maintain visual consistency.
Prohibited Content
The church will not publish announcements that include:
- Political endorsements or campaign materials
- Commercial advertising
- Personal business promotions
- Fundraising efforts not approved by church leadership
- Content inconsistent with the church’s beliefs or mission
- Inappropriate, offensive, or misleading material
Communication Platforms
Approved announcements may appear on one or more of the following:
- Verbal Announcement/Personal Appeal during Sunday Service
- Church Website
- Social Media (i.e. Instagram and Facebook)
- Email Newsletter
- In-Service Digital Display
Placement may also be determined by the Communications Team.

Submission of an announcement does not guarantee publication on every communication platform or during every worship service.
The Communications Team reserves the right to determine:
- Publication dates
- Communication channels
- Announcement frequency
- Editing needs
- Scheduling priorities
These decisions are made to ensure clear, effective, and mission-focused communication throughout the church. However, this policy can be revised at any time.

By submitting an announcement request, the ministry leader acknowledges that they have read and agree to abide by this Announcement Submission Terms & Policy.
